What You Will Build
A single Notion workspace with four connected databases: Client Tracker, Project Board, Income Log, and Content Calendar. Once set up, everything links together automatically.
Step 1: Client Tracker Database
Create a new database called Clients. Add these properties: Name, Status (Active / Paused / Completed), Service Type, Monthly Retainer, Start Date, WhatsApp Number, and Notes.
Every client gets one row. You can see at a glance who is active, what they pay, and when they started.
Step 2: Project Board
Create a Projects database with: Project Name, Client (linked to your Client Tracker), Status (To Do / In Progress / Review / Done), Deadline, and Deliverable.
Switch to Board view. You now have a Kanban board showing every project at every stage across every client.
Step 3: Income Log
Create an Income database with: Month, Client, Amount, Payment Method, Status (Paid / Pending / Overdue), and Invoice Number.
Add a formula property: Days Overdue = today minus due date. Any number above zero turns red automatically.
Step 4: Content Calendar
Create a Content database with: Post Date, Client, Platform, Caption Status, Graphic Status, and Scheduled.
Switch to Calendar view. You see every client post for the month laid out by date.
