Your Gmail inbox is your business front door. Most freelancers leave it completely unconfigured. Here is how to set it up once and run your entire client operation through it.

Step 1: Professional Email Address

If your email is anything other than firstname.lastname@gmail.com, create one today. Nicknames, numbers, and random strings lose clients before you even pitch.

Step 2: Email Signature

Go to Gmail Settings, then See All Settings, then General, then Signature. Create a signature with: your full name, your service title (for example: Freelance Social Media Manager), your phone number, and optionally your portfolio link.

This runs at the bottom of every email automatically. You look professional from the first message.

Step 3: Labels and Filters

Create these labels: Clients, Invoices, Follow-Up, Proposals. Then create automatic filters:

  • Any email with "invoice" in the subject automatically gets the Invoices label and is starred
  • Any email from a client domain automatically gets the Clients label
  • Any email you send that starts with "Following up" automatically gets the Follow-Up label

Your inbox now organises itself. You spend zero time sorting email manually.

Step 4: AI-Drafted Replies

For every common email type you send, build a ChatGPT prompt template. Examples:

  • "Write a polite follow-up to a client who has not replied to my proposal in 5 days"
  • "Write a professional email sending an invoice and requesting payment within 7 days"
  • "Write a friendly onboarding email welcoming a new social media client"

Save these prompts in Notion. When you need an email, run the prompt, edit lightly, send. A professional email in under 2 minutes every time.

Step 5: Out-of-Office Reply

Even freelancers need out-of-office replies. Set one up whenever you are unavailable for more than a day. Include your return date and an alternative contact method. Clients feel respected. Your professionalism is signalled even when you are offline.
